PERSONAL DATA IN THE RECRUITMENT PROCESS

1.    Provision of personal data by a university candidate is a prerequisite for taking part in the process of recruitment to mobility programmes. Provision of personal data is voluntary - candidates are not obliged to provide them, but it is required if they want to participate in the recruitment process.

4.    Objective and legal basis for processing of personal data:

Personal data are to be processed on the basis of voluntary consent and for the purpose of conducting the process of recruitment to mobility programmes.

In the case of admission to a mobility programme, data of the candidate shall be processed in order to provide educational services pursuant to the provisions of the Act of 27 July 2005 Law on Higher Education and implementing provisions. In the event of the candidate’s departure related to his/her participation in the mobility programme – for the purpose of organising candidate’s trip and provision of education by the host entity.

5.    Store period and categories of recipients of the personal data:

Personal data are to be stored until the process of recruitment to the mobility programme is completed, and if a candidate is admitted to the mobility programme – for the period of his/her participation in the programme and for the period needed to settle his/her participation in the programme and for the period for the retention of documents resulting from the programme rules.

If the event of admission to the programme for student mobility, the data shall be processed for educational purposes for the entire period the educational services are provided and for the period of 50 years for archiving purposes – pursuant to the provisions of § 4 sec. 2 of the regulation of the Minister of Science and Higher Education of 16 September 2016 concerning the documentation of the course of studies.The data are to be processed by employees of the Poznań University of Economics and Business or persons hired by the Poznań University of Economics and Business on the basis of civil law contracts – on the basis of authorisations for processing of personal data given by the Controller.The data shall be processed by external entities which provide the services of IT systems servicing and implementation of electronic student identity card for the benefit of personal data Controller – on the basis of Controller’s authorization to process personal data.

In order to implement mobility programmes, personal data shall also be processed by:

a)    in the case of foreign students admitted by the Poznań University of Economics and Business under the mobility programmes: the Border Guard, members of the Erasmus Student Network and students of the Poznań University of Economics and Business who applied for the participation in the Mentor programme;

b)    in the case of students at the Poznań University of Economics and Business under the mobility programme - studies under the Erasmus + programme: partner universities, the National Agency for the Erasmus+ Programme, system administrators in the Foundation for the Development of the Education System (POWER programme) and OLS (Online Lingusistic Support), students of the Poznań University of Economics and Business;

c)    in the case of students and graduates of the Poznań University of Economics and Business under the mobility programme - placements under the Erasmus + programme or participating in the mobility programme - placements under bilateral agreements and other offers: partner universities, the National Agency for the Erasmus+ Programme, system administrators in the Foundation for the Development of the Education System (POWER programme) and OLS (Online Lingusistic Support), entities admitting a candidate for a placement;

d)    in the case of employees of the Poznań University of Economics and Business or employees of partner universities / guests from partner universities under the mobility programme  under the Erasmus + programme or bilateral agreements and other offers: partner universities, the National Agency for the Erasmus+ Programme.

6.    Access to personal data, right to rectify or delete them. Cancellation of consent for data processing:

The candidate has the right to demand access to his/her personal data from the data controller or rectification or restriction of processing – within legal boundaries. The candidate also has the right to object to processing of personal data, withdraw consent for their processing at any moment, without affecting the lawfulness of processing based on consent before its withdrawal. The candidate shall have the right to receive the personal data concerning him or her, which he or she has provided to a controller, in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller without hindrance from the controller.

7.    Automated decision-making, including profiling:

There shall not be any automated decision-making (including profiling) regarding personal data of candidates.

8.    Right to lodge a complaint with a supervisory authority:

Every data subject shall have the right to lodge a complaint with a supervisory authority, in particular in the Member State of his or her habitual residence, place of work or place of the alleged infringement if the data subject considers that the processing of personal data relating to him or her infringes the provisions of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation)
